Minutes of Meeting
21st April 2009

In Attendance: Traci Leven, Linda Barclay, Vivienne Mackay, Gün Orgun, Lorna Ash, Louise Haggerty, Elaine Holmes, Derek.

Rag Bag
This is underway with drop off on Thursday and Friday of this week with pick up on Monday of next week. Traci confirmed that the school would receive the same amount per Kg as last year. It was suggested that the money raised by Rag Bag to the recycling theatre performance which is scheduled for May (approx £400).

Summer Fair – Please see attached schedule for full details of events

In addition to food stalls already organised:
Derek is to investigate the possibility of an ice cream van. It was also suggested that milk shakes could be made and Lorna offered to lend a table top freezer for this purpose.
Louise to pursue contact regarding wine merchant for stall selling American wines. Berits and Browns also suggested as a possibility.
Andy Thomson – crepes and pancakes with the guides to help

Cinema – For the children during the evening entertainment. Val offered her help for this and Derek offered to help set up and electronic white board with computer link. There are to be two films.

Police – Linda to contact Elaine to finalise what they are brining.

Scotland Story Telling Centre. Lynn James contacted them and American Folklore stories can be told at a charge of £75. Linda is to find out if it is possible to hire a Tepee as a story tent. It was decided not to charge for this but to ask for a donation.

Pony rides – suggested 5 minute rides with about 4 ponies, Linda to contact relevant people.

Hair braid/Tattoos/Jewellery/nail polishing. The Fun Hut will do this stall which will take place in the GP room if raining but will otherwise be located outside.

Pots – the painting of pots was suggested with the gardening club and spadeworks recommended – these groups are to be contacted.

Balloon making – Elaine or Louise to speak to Robin Hoyle to see if he can do anything science related.

Book Stall – joke books from the red nose day will be for sale.

Fair trade – Marian Hole – tea

Wendy Ross – Louise to contact to find out if she would like a stall.

Basket ball – Vivienne to find out if basketball team can attend.

Race – Ruth and Paul to organise.

Unsigned bands were confirmed as Jimmy Richards, Pain Fish, Psycho Attractive, Honour Kills, and Megan Reid. The bands will be given 25 min slots with a 5 min changeover. Ewan Mccreath to co-ordinate. Set up will be between 12 and 2.45pm. 120 tickets to be produced and which will be sold at £3 each. The bands will finish by 6pm. Bands are to sell up to 10 tickets each. This part of the day will be aimed at 14 – 25 year olds – but all will be welcome. Tickets must be numbered and Browns will be approached to sell tickets.
Lynn James suggested contacting the Grand Ole Osprey for props and backdrops.

Event advertising, 2 posters are to be designed, one for main event and one for bands and where to buy tickets and with appropriate web links.

Linda confirmed she checked licensing was in place with the Edmonston Hall and the police advised that nothing was required for the bouncers.

It was discussed that the website address should be added to everything.
