Minutes from Strathblane Primary Fundraisers meeting, 8th September 2009

Present: Traci Leven, Beate Schwahn, Anne Scott, Anne Horrocks, Kim Jones, Marian Hoyle.

Election of New Chair: Beate was elected as SPF Chair, and will be supported by Derek Fabel as co-chair. Elaine Holmes, Louise McHugh and Derek Fabel will be available for minute taking on a rotational basis. In passing on apologies for this meeting, Linda Barclay expressed an interest in continuing her role of helping to organise events, and Elaine Holmes indicated she would be willing to help in a supportive role.
Traci Leven agreed to check whether there was paperwork that would be useful to pass over to Beate. She also agreed to pass on contact details of those who have supported SPF events in the past.
Beate expressed a need for some direction from the Parent Council regarding targets for fundraising and whether there were special projects for which targeted fundraising was required (e.g. MUGA?)
Programme of events for the coming year: It was agreed that Sandra Logan should be closely consulted regarding the scheduling of fundraising events, and that an effort should be made to work more closely with the school in planning appropriate fundraisers (e.g. tying themes in with curricular topic work).
• The Fair Trade/ethical fashion show is scheduled for 23rd October and is being co-ordinated by Anne Scott.
• It was agreed that the Halloween Disco will take place on Friday 30th October at the school, and will be co-ordinated by Beate Schwahn and Anne Horrocks.
• Other likely ‘staple’ events are:
o Christmas Fair (usually at the end of November) – Beate agreed to check with Val (who usually co-ordinates the Christmas Fair) to see if she would be interested in doing so again.
o Christmas Concert Hampers (usually in December).
o Summer Fair (usually in May).
• Additionally, it is likely that an ‘adults event’ and a ‘family event’ will be scheduled during the year.
It was agreed that more detailed planning of the year’s fundraising activities would take place at the next meeting.
Fair Trade/Ethical Fashion Show
Anne Scott gave an outline of the format for the fashion show: Fair Trade companies and Oxfam have agreed to provide clothes and Anne has secured parents and staff to be models on the night. The whole P7 class will also be modelling clothes which they have made and revamped. Each class will be involved in some way including making the backdrop, decorations and things to sell on the night. There will also be a street dance section by a group of local S4 girls. All clothes modelled can be bought on the night, and there will be stalls including One World, Trade Craft, Tear Fund and Eco Knits. Anne has also managed to secure people to provide lighting (?), music (Ross Campbell), MC (Lynne James), Poster/Programme design (Wendy Hamilton), Printing (John Watson/Alistair Campbell), Fair Trade Wine (Co-op and Tom Robinson), Photography (Joanna Hall) and Hair/make-up (Dawn Murray).
Anne additionally needs more volunteers. Sally Gray has already volunteered, and will work on the door. Kim Jones agreed to organise the wine and glasses. Traci, Marian, Anne and Beate also said that they would be available on the night to help as required. This may include selling clothes at the end of the show.
There was some confusion around the capacity of the hall. It is hoped that the hall may hold up to 200 people, and therefore 200 tickets could be sold. Anne Scott agreed to check with the school.
It was suggested that fair trade chocolate and dried fruit should be available to buy for snacks on the night.
Tickets will be sold in advance – £5 for adults and £2 for children which will include wine and juice. It was agreed that the programmes should be sold for 50p which would include a quiz. Quiz entries would be collected and a prize distributed at a later date.
Rag Bag
Traci Leven confirmed that she had spoken to the people at Rag Bag to arrange to have a large container in the playground. This will allow parents and those in the wider community to donate old clothes and shoes throughout the year rather than having a single Rag Bag collection date. Collections will be arranged whenever the container is full. Rag Bag had said they were sending someone out for a site visit, but this has not yet happened and Traci agreed to chase this up. This should be a good opportunity to raise funds throughout the year, and will also support the eco/environmental principles of the school.

The next meeting will be at 8.15pm on Tuesday 6th October. Blane Valley Inn.
